AI agents and automation for small business

The version of this with no hype in it.

There are three or four specific places where a small service business loses money every week, they’re all the same places, and most of them can be fixed with automation that’s been reliable for years.

The calls nobody answers after five. The missed call that never gets returned. The lead that sits in an inbox for a day. The customer who would have left a five-star review if anybody had asked.

What we actually build

An AI receptionist for nights and weekends. Trained on your business specifically: your services, your service area, your pricing rules, what you don’t do. It books into your calendar. It tells people it’s automated and offers a path to a human, because that’s both the right thing and increasingly the legal requirement.

Missed-call text-back. A call comes in and nobody picks up, so a text goes out within seconds: “Sorry we missed you, what can we help with?” This one is boring and it pays for most engagements on its own.

Lead routing. Every lead from every source lands in your CRM, tagged by where it came from, without anyone retyping it.

Follow-up sequences. Text on day two, email on day five, a task for a human call on day seven. Most businesses follow up once.

Automated review requests on a delay you choose, wired into job completion. This one feeds directly into local SEO, since recent reviews are one of the strongest map pack signals there is.

AI-assisted intake. A conversation that gets you what you need instead of a four-field contact form that gets you a name and “need quote.”

One dashboard. Calls, forms, ad spend, appointments and revenue on one screen instead of five logins.

Talk through what you’d automate first

Usually two or three things, not ten. Missed-call text-back is almost always one of them.

What we won’t automate, and why

No AI on clinical questions, legal advice, final pricing that needs someone to look at the job, or an angry customer. Those get a human, fast.

And anything automated that talks to your customers says so. A bot that pretends to be a person is a short-term trick with a long-term cost, and disclosure requirements are tightening across states anyway.

How it works

  1. Find the leaks.

Real call logs, real CRM data, real numbers on how many calls go unanswered. Usually surprising.

  2. Pick two or three, not ten.

Highest return first. Missed-call text-back is almost always one of them.

  3. Build and train on your business.

Then test against the weird questions your customers actually ask, not the polished demo script.

  4. Run it past your staff before it goes live.

They’ll find the problem you didn’t.

  5. Watch and adjust.

Anyone telling you it’s set-and-forget hasn’t run one.

Common questions

Will an AI receptionist annoy my customers?

A bad one will. A good one answers at 9pm, which beats voicemail by a wide margin. The customers who hate it are the ones who wanted a human and couldn’t get to one, which is a design problem and it’s solvable.

What is missed-call text-back?

When a call to your business goes unanswered, an automatic text goes out within seconds asking what they need. Most people who don’t reach you call your competitor next, and this catches a meaningful share of them before that happens.

Do I have to tell people they’re talking to AI?

Yes, and you should want to. Disclosure requirements are expanding and the reputational cost of being caught is worse than the marginal benefit of hiding it.

How much of this actually needs AI?

Less than you’d think. Missed-call text-back, lead routing, follow-up sequences and review requests are automation, not AI, and they’re the ones with the clearest payback. The AI part is the conversation handling. We’ll tell you which is which instead of billing everything as AI.

Who this is for

A good fit

Service businesses taking enough calls that missing some costs real money, roughly 40 a week and up. Best fit if you already have a CRM or are willing to get one.

Not a fit

If call volume is low, if nobody will maintain it, or if you want AI because it sounds impressive. That last one we’ll talk you out of.
